## Why a nanny needs a timesheet

Most pay disagreements between nannies and families are about hours, not rates. “I thought you left at five” is easy to say and hard to disprove when nothing was written down. A weekly timesheet, filled in daily and signed by both sides, turns a memory dispute into a number you can both read.

It is also the raw material for everything that comes next. Whether you invoice the family or they run you through household payroll, the question the paperwork asks first is how many hours you worked.

## What the timesheet records

- The actual start and end time each day, not the scheduled ones. If you stayed late because the parents were stuck in traffic, that is the number to write.
- Unpaid breaks in minutes. If you are genuinely off duty for 30 minutes, subtract it. If you are still watching the child while you eat, it is usually working time.
- Total hours for the day, as a decimal. Eight hours and 30 minutes is 8.5, and 7 hours 45 minutes is 7.75.
- A notes column for anything that explains a number: an early finish, a doctor’s appointment, an overnight.
- Weekly totals split into regular and overtime hours, if your arrangement has overtime.

## How to convert times to decimal hours

Take the end time minus the start time, subtract any unpaid break, then convert the minutes to a fraction of an hour by dividing by 60. Fifteen minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. A shift from 8:00 am to 5:30 pm with a 30 minute unpaid break is 9.5 hours minus 0.5, which is 9.0 hours.

## Weekly or daily?

This template is one week per page, because pay and overtime are usually calculated per week. Use a fresh page each Monday. If you work for more than one family, keep a separate timesheet for each, even if the hours are on the same day.

## Record real times, not rounded ones

Write the actual times rather than rounding to the nearest quarter hour, unless you and the family agreed on rounding in advance. Small habits add up over a year, and whichever way they fall, one side ends up feeling shortchanged. Take a photo of the signed sheet each Friday so you both have a copy, and keep the originals together in one folder.

> Overtime and break rules depend on where you work and how you are employed. Use the timesheet to record the facts, and check your state labor department or a household payroll service for what applies to you. When you have the hours, the nanny overtime calculator on this site works out the pay.

## Filled-in example: a 44-hour week

The pay maths: 40 regular hours at $22.00 is $880.00, and 4 overtime hours at $33.00 (1.5 times the rate) is $132.00, for $1,012.00 gross. The names are made up.

- **Nanny:** Maya Johnson
- **Family:** The Rivera family
- **Week starting (Monday):** Monday 19 October 2026
- **Hourly rate:** $22.00 per hour, overtime at 1.5x after 40 hours

| Day | Date | Start | End | Break (min) | Hours | Notes |
| --- | --- | --- | --- | --- | --- | --- |
| Monday | 19 Oct | 8:00 am | 5:30 pm | 30 | 9.0 | |
| Tuesday | 20 Oct | 8:00 am | 5:30 pm | 30 | 9.0 | |
| Wednesday | 21 Oct | 8:00 am | 6:00 pm | 30 | 9.5 | Stayed late for the dentist run |
| Thursday | 22 Oct | 8:00 am | 5:30 pm | 30 | 9.0 | |
| Friday | 23 Oct | 8:00 am | 4:00 pm | 30 | 7.5 | Early finish |
| Saturday | 24 Oct | | | | 0.0 | Off |
| Sunday | 25 Oct | | | | 0.0 | Off |

- **Total hours:** 44.0
- **Regular hours:** 40.0
- **Overtime hours:** 4.0
- **Gross pay (before tax):** $1,012.00

## How to fill in a nanny timesheet

1. **Fill in the header.** Write your name, the family, the Monday the week starts and your hourly rate.
2. **Record start and end times daily.** At the end of each shift write the actual start and finish times, not the scheduled ones.
3. **Subtract unpaid breaks.** Enter any genuinely off-duty break in minutes, then work out the day’s hours as a decimal.
4. **Total the week.** Add the daily hours, split them into regular and overtime hours, and multiply by the rates to get gross pay.
5. **Sign it.** Both you and a parent sign and date the sheet, then keep a copy each.

## How NannyLog does this automatically

NannyLog’s hours tracker replaces the paper timesheet. Tap to clock in when the shift starts, choose which children you are looking after, and tap to clock out when you leave. The times are recorded as they happen, and parents connected to the family can see the same hours in their app.

Forgot to clock in? Add a time record afterwards with the right start and end. If you work for more than one family, each family keeps its own hours and rate. When it is time to get paid, hours turn into an invoice, and invoiced hours are marked so they are never billed twice.

Hours tracking is part of Premium ($4.99/month or $39.99/year, with a 7-day free trial for new subscribers). NannyLog records the hours and your rate; it does not work out overtime premiums, so use the calculator for that.

## Frequently asked questions

### What should a nanny timesheet include?

The nanny’s and family’s names, the week, the actual start and end time for each day, unpaid breaks, total hours per day and for the week, the hourly rate, and signatures from both the nanny and a parent.

### How do I calculate nanny hours from start and end times?

Subtract the start time from the end time, subtract any unpaid break, and convert the remaining minutes to a decimal by dividing by 60. For example, 8:00 am to 5:30 pm with a 30 minute break is 9.0 hours.

### Do both the nanny and the parent need to sign the timesheet?

It is not a rule, but it is good practice. A signature from each side shows you both agree on the hours, which prevents most pay disputes later.

### Is this timesheet free to print?

Yes. Download the blank weekly PDF and print as many copies as you need. No account or app is required.

### How do I work out overtime from the timesheet?

Total the week, subtract your overtime threshold (often 40 hours, but it depends on your state and agreement) and multiply the extra hours by your overtime rate. The nanny overtime calculator on this site does the maths for you.
